Total Communication Pte Ltd, with its website www.totalcommunication.com.sg, is committed to protecting the privacy of its clients and website users. This Privacy Policy sets out the types of personal data we collect, how we use it, and the steps we take to ensure it is protected.

We collect personal data from clients who use our Speech/Educational/Occupation Teletherapy, Online Assessments, and other programmes and services. This data may include but is not limited to, clients' names, addresses, contact numbers, email addresses, and payment information. We may also collect additional personal data such as health information to provide better services.

 

Use of Personal Data:

The personal data we collect is used to provide Speech/Educational/Occupation Teletherapy, Online Assessments, and other programmes and services, to process payments, and to communicate with clients regarding their services. We may also use personal data to improve our services and to send promotional materials.

 

Protection of Personal Data:

We take appropriate security measures to protect against unauthorized access, alteration, disclosure, or destruction of personal information. These measures include physical, electronic, and administrative safeguards.

 

Disclosure of Personal Data:

Total Communication Pte Ltd does not sell, rent, or share personal data with third parties, except as required by law or to provide the services requested by clients. However, we may share personal information with third-party service providers who perform services on our behalf, such as payment processing, customer support, and marketing. These third-party service providers are required to protect the confidentiality of personal information and use it only for the purposes for which it was disclosed.

 

Access to Personal Data:

Total Communication Pte. Ltd. may make changes to this Privacy Policy from time to time. The latest version of the Privacy Policy will be posted on our website.

Intake Terms and Conditions – Regular Students Arrangement


Speech and language/Educational/Occupational therapy is an important part of healthcare/educational intervention. The terms and conditions have been refined over the years to benefit everyone who is seeking efficient and beneficial care.


Booking of Sessions

  • Therapy sessions are scheduled in blocks (usually 1 month at a time)

  • You are welcome to inform us if you would like to add additional sessions on top of your regular sessions at any given time.

  • Booking a regular weekly slot ensures your scheduled spot.


Compulsory Attendance & Punctuality

  • Sessions are given out with the expectation that the client attends all scheduled sessions.

  • Please be punctual in your appointments. Unless prior notice has been given and this has been agreed beforehand, we will not hold replacement sessions or refund for lost time as a result of lateness.

  • If the following behavior (more than 25% cancellations in one block, lateness, lastminute notice without medical certificate produced) is observed, Total Communication Therapy Pte Ltd reserves the right to discontinue therapy with no refund of paid fees nor replacement sessions. This is done so that we can offer places to those who are genuinely seeking the services.

  • Please be punctual in collecting your child from the Centre. The therapists work on an hour-by-hour basis and there should be no assumption that someone is available to supervise your child after his/her hour of therapy.
     

Cancellation of Session

  • Although the therapists will consider occasions of absenteeism due to occasional sickness (not more than once every three months) or holiday periods, there should be no assumption that replacement sessions would be given out.

  • If your child has a medical condition that causes him/her to fall sick regularly, please speak to our therapists/clinical director to make special arrangements for therapy sessions. Please do not book him/her in on the regular arrangement.

  • Excessive Cancellations and Extended Vacations: If you regularly cancel (even in advance) more than 25% of your scheduled appointments (about once in a month), Total Communication Therapy Pte Ltd reserves the right to discontinue therapy with NO REFUND of paid fees nor giving out of replacement sessions. This is done so that we could offer places to those who are genuinely seeking the services.

  • If you go on vacation for more than two weeks, even with advanced notice, we may not be able to hold your regularly scheduled appointment time. You may have to rearrange a suitable time slot for your child.

  • In the event you are unable to continue therapy, please let us know one month in advance. A discharge form will be issued to you.

Replacement / Re-Scheduled Sessions

  • Replacement sessions for missed sessions will only be granted if they were informed 2 days in advance or if a medical certificate is produced.

  • Replacement sessions are given entirely at the discretion of the clinical director upon consultation with the therapist on a case-by-case basis.

  • Replacement sessions, if granted, have an expiry date of 6 months from the time it is granted.

  • Replacement sessions should be booked into additional available slots that do not affect the student’s regular weekly timeslot.

  • All sessions missed cannot be removed from the billing, refunded, or brought to the next month. It must be done on another day on top of the regular sessions.

  • In the event our therapist is sick on the day of the appointment, your child will see another therapist at the available time. If no therapist is available, we will reschedule you for another day.

  • All Public Holidays will automatically be considered as replacements with no changes to the invoice.

Fees / Billing Process

  • Professional services are charged directly to the client and not to insurance companies or a third-party offering sponsorship of fees.

  • Professional fees for monthly therapy must be paid in full before the commencement of that month’s therapy to secure a place for the client or otherwise, that month’s sessions will not be reserved for your child. • Preferred payment would be in the form of a bank transfer, credit card, or cheque.

  • You will be billed for a month’s sessions reserved for your child, except for school holiday months of which our billing will account for unused, replacement sessions (previously approved by us). If there is no notification of cancellation, we will continue to bill you for the next block.

  • In the event that a cheque is returned, or a credit card transaction is declined by your bank, funds will not be deemed to have cleared. Total Communication Therapy Pte Ltd shall not be liable for any bank charges that may apply.

  • We will standardize the sending of invoices through email. If you prefer WhatsApp do inform us and we will take note for future invoice notifications. (e.g., Last week of January for February Invoice). We seek your assistance in sending us a screenshot after payment is made for easier payment verification.

  • Your invoice will be sent on the last week of the previous month. All payments are to be made within 7 working days from the invoice date. A late payment fee of 10% will be imposed, should payments not be made in time or exceed the above due date mentioned.
     

Holiday Sessions

  • Slots should be confirmed and booked at least one week before the intensive holiday program starts.

  • The invoice will be sent immediately after the booking is confirmed. Payment should be made before the program starts. There will be a 3-day grace period to make payment. After 3 days of the holiday program is passed and payment is not made, the 10% late payment fee will be implemented.

Use of Gym Facilities (If applicable)

  • Parents are strongly advised to seek health check clearance by a medical practitioner for their child prior to the commencement of the Occupational Therapy sessions.

  • While we would take all care and precaution to ensure the client’s safety through safe gym equipment and practices, we will not be held liable for accidental injury or death occurring within the gym or premises through acts that are beyond the control of the therapist attending to the child or due to prevailing medical conditions.

  • Our gym facilities are under CCTV surveillance at all hours of the day and will only be viewed when there are valid reasons (i.e., accidents, unsupervised use of gyms). Thereafter the recordings will automatically be erased and overwritten intermittently. Please note that CCTV surveillance is different from the standard use of video recording for professional purposes – in which case a separate consent form is warranted.

TOTAL COMMUNICATION reserves the right not to accept any student unless these terms and conditions are agreed upon.
