CLIENT SUCCESS COORDINATOR (REMOTE) 

Who are we?

We are a progressive therapy center based in Singapore with talented and highly motivated team players who hail from different corners of the world including Singapore, Australia, New Zealand, the United Kingdom, and Ireland. Presently, we are handling a variety and interesting caseloads that involve treating children and teenagers with autism spectrum disorders, handwriting challenges, dyspraxia, and gross and fine motor challenges.

Our center is seeking an extraordinary individual who has a natural talent to connect with people, and who has strong organizational and liaison skills to join our team. She/He will be collaborating with individuals remotely coming from different professional expertise such as speech-language therapists, occupational therapists, and educational therapists in a transdisciplinary setting as well as our Marketing Manager. You will be reporting to the Clinical Director and the Marketing Manager. You will also be coordinating efforts and supervising a client services administrator located in Singapore. You will be using your strong PR, organizational, IT-savvy, and problem-solving skills to handle a broad spectrum of client services including but not limited to:

  • Liaising with individual therapists extensively and consistently to bring about successful enrolment of the clients and maintaining quality services;

  • Connecting with our in-house therapists to help them successfully meet their monthly targets;

  • Liaising with clients in an effort to define their concerns, their preferences and match them to specific programmes;

  • Answer calls directly routed to you in a professional manner and is able to convey calls urgently to a therapist, or book the clients directly;

  • Updating information on an existing spreadsheet, checking the spreadsheet constantly to speak to parents and therapists;

  • Identifying new leads from the Marketing Manager to establish potential sources and market whom you could liaise with and introduce them to our programmes;

  • Planning, coordinating, and scheduling the clients using our Plato System;

  • Supervising and training the client services administrator to raise the standards of communication, scheduling accuracy, and planning;

  • Hands-on role in speaking to therapists and parents of our students. Sometimes, this involves making a judgment to have a therapist speak to the parents directly, communicating with parents regarding the therapist’s intentions without diluting any messages conveyed, scheduling and invoicing of clients, working to bring about a more seamless enrolment process;

  • Projecting ahead before school holidays and to ensure cohesive marketing efforts and increase the take-up rate of programs;

  • Preparing accurate billing for the clients you have booked. Tracking payments and following up on late payments with late fees.
     

KPI will be gauged by day to day efficiency of booking in clients from referrals, being able to fill up all the slots of the group therapy sessions.

Qualifying Factors:

  • At least 3 years of relevant client services experience.

  • Outgoing personality, humility to learn, hardworking, flexible, and creative team player who is prepared to “roll with the punches”.

  • Must be quick to grasp services provided by reading relevant articles, and materials from the center in your free time.

  • Exposure to the private therapy setting would be ideal.
     

Other Qualifying Factors:

  • · MBA/BBA/Degree in Psychology and related fields from reputable universities – with hands-on experience in Sales.

  • · Must have strong sales, administrative and project management skills.

  • · Excellent time management – must be able to be accountable for the hours put in.

  • · Possess excellent interpersonal qualities and strong work ethics.

  • · Comfortable working independently as well as part of a team.

  • · Has excellent written, and verbal communication skills (high level)

  • · Must be tech savvy and flexible in knowing different software for ease of the job.
